Unfortunately there is no way to default to - uncheck the billable box in the time sheets.

Hoping we have an option for version 2008.

Merging an Email Campaign from Customer Mgr to Quickbooks Premier 2007



Dear Gita,

I hope you can help.

I have created a group in Customer Manager and I didn't realize that we cannot send email letters/Newsletters from there.

I think we have to import the names from Customer Mgr to Quickbooks, how do we do that, it seems we can only export from Quickbooks to Customer Manager?

Also it seems we cannot do a mass mailout from our Campaign Group even if we were able to export from Customer Manager to Quickbooks, having to send each email indivdiually is too tedious.

Finally we have entered our names in our database as:

Last Name, First Name Title and when we create an individual email the "Dear_____ is blank, it doesn't show the name of the person. I know this happens when the name field is incorrect but the names have been entered correctly.

Hope you can help.

Yes, you can sync from Customer Manager to QuickBooks when you sync with QuickBooks the first time it will ask you to set the preference for this. You are correct in that you will not be able to do a mass mail campaign.

Question: Reconciliation Summary

Is there a way to prevent the Reconciliation Summary from including transactions that are past the "period ending" date? For example, the Reconciliation Summary for period ending 12/31/06 includes transactions in January 2007 in the totals for uncleared transactions and new transactions and the ending balance.

There is no way to prevent this data from showing up on the reconciliation summary. You would normally get a dialog box that tells you that this data will be included on the report. If the opted out of it the first time they won't see it again.

Question: Multi-user Quicken

We are considering upgrading to quickbooks, currently have quicken 2004 (small bus) and need multi user capability. Can we do this with current quicken or if not, what version of quickbooks would we need. Prefer not to go to the web-based version.

You can purchase QuickBooks Pro 2007 with multi user capability. Quicken is not available in for multi user.

QuickBooks has a calendar anywhere can enter a date. Click on the icon next to the date to see the month.

QuickBooks also has a Reminder, To Do List and a Timesheet.

Here are some things you can do in the Accountant's Copy:

• Add, edit, and delete most types of transactions dated on or before the dividing date.
• Add new transactions dated after the dividing date.
• Add and edit the chart of accounts (except merge and delete).
• Add new customers, vendors, employees, and items. Some exceptions apply and display as disabled fields in the Accountant's Copy.
• Reconcile a bank account. (Reconciled status of transactions is not sent back but any adjusting entries are).
• Temporarily change preferences.
• Create new reports.
• Make adjusting entries.

Question: QB 07 File Size

Do you know of any limitation to the company file size in 2007 Pro? A QB integrator thought that when a file got larger than 250MB it became unstable and I needed to go to Enterprise. Any truth to that? I am running 2003 right now without a problem and I am concerned about the upgrade if it will cause problems. I only need 3 users. Even when I close out the year 05, which will keep 06 & 07 avail for easy historical reference, my file size is 260MB (down from 348MB).

Your file is big but there is no hard and fast rule. How is the performance of the data file? Does it take couple seconds more to view a report or enter a transaction? If you do not have a problem I say leave it be till the end of the year.

I would make sure you to create a backup on a regular basis before you upgrade to 2007.

Big files are more prone to data file damage.

Question: Is a QB upgrade the only way to solve AmX download problem?

(Hope I'm posting in the correct place! Sorry if I'm not.) When I attempted last month to download our AmX transactions into QB (as I've been doing successsfully for a couple of years), I got a message that said:
     In an ongoing effort to provide reliable high-quality products and services, as of May 31, 2007, Intuit has discontinued Online Banking services for QuickBooks 2004. In order for your Online Banking Service to continue working, you will need to upgrade to QuickBooks 2007. Visit www.buyqb.com/fi to receive a discount on your QuickBooks upgrade.

I tried the link and ended up at a lot of confusing info. We only use QB for basics -- no tax issues, no payroll, no customer invoicing. Do I have to buy a new version just to be able to download AmX transactions? Hope you can help. Thanks. P. Karydas

Online banking and payroll are not supported for 2004 and are discontinued. You will have to upgrade to Pro 2007.

After installing QuickBooks 2007, click on Help > Update QuickBooks > Options > select Yes to Automatic Update > Mark All > Save > Update Now > Get Updates. After the updates are completed, close and open the program to install the updates.

Before retrieving the data, make sure you make a backup. Click on File and select the file you want to open...

Question: Clearing Un-Deposited Funds for a Cash Basis Business

Good Morning -

Prior to my arrival, this small business had transactions (at the end of FY2006) that were entered as undeposited funds when in actuality they were payments of invoices. I am trying to figure out what is the best way of clearing these for my balance sheet/tax purposes for the FY 2006 without it affecting my current status overall. The person who previously handled the company's quickbooks had entered these items incorrectly. Please advise!

Answer: Clearing Un-Deposited Funds for a Cash Basis Business

Payment received on the invoices can be posted in the Undeposited Fund Account.

It seems that there were deposits made by using "Make Deposit" as well as "Receive Customer Payments". Double check if they are entered twice.

If so Edit the Deposit and click on the $ Payment and select the payment > click ok. Then delete the original line in the deposit screen. Double check your amount of deposit and Save. This will remove the clear the amount from undeposited fund and at the same time delete the duplicate deposit.

I am trying to customize quickbooks for my father who has very bad vision. He is intimidated by computers, but he does know how to use them, and he knows how to use quickbooks. I think he would be less intimidated if it were easier for him to read what is on the screen. I have tried changing the windows appearance settings to make the text bigger, and it doesn't change the font size in the home page...
Please help!!!

We are actively renovating our properties and would like to use the standard construction expense accounts. Must I manually load the 30+ accounts into my existing chart of accounts? We just switched from Pro to Contractor edition.

That is one option. Another option is to enter 30+ account in excel and use the import feature under utilities by creating an iif file.

Question: Uncleared Bank Transactions

Do uncleared transactions (if uncleared indefinitely) go forward from month to month? Is there a report to print that shows all uncleared transactions (checks and deposits) at the end of a year? I cannot seem to find one. And, if there are uncleared transactions and I want to remove them completely, what is the best way to do that? There have been several payroll checks that my boss has not cashed and does not want to cash them. He would rather credit them toward his Shareholder Distribution account. How would I do that?

Answer: Uncleared Bank Transactions

1. Yes uncleared transaction will show up in Bank Reconciliation report from month to month.

2. To view uncleared transaction report

Click on Reports > Custom Transaction Detail Report > Click on Modify > change the date > Filter > Account > Select your bank account > scroll down and click on Cleared > select No.

3. Did you file your quarterly payroll tax return? If yes, you cannot delete the payroll checks. Check with your QuickBooks Advisor/Accountant. Find one in your area by visiting
